Subscription or one-time licence for clinic software?
The first amount you pay is not necessarily the full cost of software. A useful comparison adds costs over a defined period, checks the included users, support, updates, backups and messages, and relates them to the clinic’s needs. No purchasing model is the best choice for every situation.
Separate payment from deployment
A subscription is not synonymous with cloud hosting, and a one-time payment does not tell you where data is stored. Separate three questions: how do I pay, where does the system run, and what service is included? Required devices, remote access and backup responsibilities can vary within the same purchasing model. Ask for a specific description of what your team will receive rather than inferring it from the label.
Build a 24-month model
For a subscription, add 24 monthly payments or two annual payments, then setup, training, extras and messages beyond the allowance. For a licence, add the licence, required equipment, maintenance, support, upgrades and backups over the same period. Mark each item as included, a documented amount or unconfirmed. Do not replace a missing answer with zero, or treat an introductory discount as the permanent renewal price.
An arithmetic example, not a quotation
Suppose a fictional subscription costs EGP 800 per month plus EGP 2,000 setup. Its basic 24-month cost is EGP 21,200. Suppose a fictional licence costs EGP 15,000 plus EGP 4,000 setup and EGP 3,000 second-year support: EGP 22,000 in total. These invented figures represent neither Modirify nor another vendor and exclude taxes, financing and the value of time. They illustrate addition, not a recommended budget or proof that one model is cheaper.
Match the scope
Check whether pricing is per user, device or clinic; the cost of an extra branch; messaging and AI limits; support hours; and included training. Ask whether updates cover new versions or only fixes, and how you obtain your data when leaving. A small price difference cannot settle the decision when one quote covers a smaller team or excludes a service you need every day.
Choose for your operating needs
A subscription may suit a clinic that prefers spreading payments and reviewing needs regularly. A licence may suit stable requirements with a clear support and update agreement. Assess risks under either model: who helps during an outage, how is a backup restored, and what happens if your requirements change? Test the service and obtain written terms before making it essential to daily operations.
